Aber Card Scheme for Aberystwyth University Owned and Managed Trading Outlets
Introduction
Aberystwyth University operates a pre paid debit scheme ('the scheme" using a personalised plastic debit card ("the Card") for the exchange of catering services operated at certain outlets owned or managed by Aberystwyth University Hospitality Services. The terms upon which the 'Aber card' scheme is operated are set out below.
Who is to apply
- The card is available on application to all registered students and staff of the University and affiliates as nominated by Aberystwyth University from time to time. Students in catered residences are registered automatically to this scheme as part of the accommodation licence agreement and are bound by its terms and conditions.
- Students, other than first year undergraduates will have the catered allowance for the hospitality card set up on their Aberystwyth University Library card. It is up to the students concerned to ensure that the correct library card details are sent to the Hospitality administration department in plenty of time to credit the card prior to the start of the semester.

How is the Aber card is credited.
- All participants are issued with the card upon acceptance to the scheme.
- Cards may only be activated with a credit of at least £10.00
- Top up payments may be made onto the cards at the tills at Pantycelyn, Tamed Da , and Blas Gogerddan, by cash, cheque or debit card. Alternatively top up payments can be done remotely by completing the Aber Card Application Form or Credit and Debit card payments can be made via telephone - 01970 621942/622778
- Neither the sums of money credited to the card nor any balance accrued on the card will attract any interest.
Where the Card can be used
- The Aber card can be used at any of Hospitality Services outlets on Penglais and Gogerddan campuses. For the avoidance of doubt these are Tamed Da, Tamed Bach, The Underground, Cegin Pantycelyn and Blas Gogerddan.
- Aberystwyth University reserve the right to amend the outlets that the card is accepted at with the exception of any catered residences.
- All purchases made to franchises and other outlets on any Aberystwyth university campus' are excluded from the scheme.
What Foodstuffs can be exchanged as part of the Aber Card Scheme
- The card can only be used for the purchase of food and drink in the outlets as designated. They cannot be used for the purchase of any alcoholic beverages at any outlet on.
How is the Card Used
- The card must be presented at the time of purchase, where the value of the transaction will be debited from the card. A receipt will be issued with all purchases which will detail any remaining balance on the card.
- The card cannot be used as a part payment. The card will be only accepted where there is sufficient credit for the purchase.
Sundry Terms and Conditions
- The card is valid for as long as there is credit on the account and the account has been used in the previous 6 month period. Cards that have not been used in a 6 month period will be withdrawn automatically and any remaining credit shall be forfeited. The exceptions to this rule are cards that are supplied as part of the catered residences and are subject to the terms and conditions as set out in the accommodation licence agreement.
- Students who are taking approved withdrawal or an approved study scheme away from Aberystwyth will, upon their return, be able to re-activate their card with the previous balance.
- Any refund requested from a card, other than that issued to a catered residence student, will be subject to a £5.00 administration charge.
- The card is deemed to be the property of Aberystwyth University at all times, and is not transferable from the participant from whom it is issued. Aberystwyth University reserves the right to request the return of the card and should it do so will pay any outstanding balance to the participant on receipt.
- Aberystwyth University does not accept any liability for the loss or damage to any of the cards. The participants are solely responsible for informing Aberystwyth University Hospitality department or any loss of theft of the card.
- Aberystwyth University does not accept any liability for any fraudulent use of lost or stolen cards, and will only credit a balance to a replacement card at the time and date that a card is reported as lost or stolen to the Hospitality services department at Aberystwyth University.
- Where a replacement card is required there will be £5.00 administration fee unless the participant wishes to have the account set up on their Aberystwyth University library card at no cost.
- Aberystwyth University reserve the right to amend the terms and conditions of the card without giving any prior notice to the card holder, except as detailed in the Accommodation Licence Agreement.
