Important information about special circumstances

What are special circumstances?

Special circumstances include situations such as: short or long-term illness, severe financial problems, major accommodation problems, bereavement or other personal compassionate grounds.

How does submitting circumstances help?

You will NOT be given extra marks.  The university system aims to ‘level the playing field’ by allowing departments to recommend:

·        For all students: an opportunity to resit failed modules for no resit fee in the August supplementary exams

·        For undergraduates in Part 2 (year 2 upwards) and taught M.Sc. students: to recommend a chance to resit failed modules for full marks rather than the usual capped marks in Years 2 and above. If your results are good despite the circumstances, yet appear to be out of line with the rest of your unaffected Part 2 marks when we consider your overall degree result at your final exam board, we will consider the evidence if you are very close to a boundary between degree classes. This might affect the final recommendation.

How to tell the department

a)      Complete a special circumstances form available from boxes on the wall by the Computer Science office hatch, or from https://www.aber.ac.uk/en/media/departmental/aqro/rulesandregs/2015-16/specialcircs/Special-Circumstances-Form-2015-2016.docx  . You MUST give enough detail to show the module work that was affected. So state the module code, whether it was the exam or assignment (and which assignment if more than one). Most importantly put down the dates of the period during which you were affected AND the dates of the work affected, and DESCRIBE the impact of the circumstances on your work. The board is not allowed to make assumptions. A broken arm may or may not affect someone’s work. You must tell us HOW your work has been affected. For example in the case of a broken arm was it your writing hand? Was your typing speed affected?

b)      Submit evidence to back your claim along with your form. This might be: a note from your doctor, or a letter from the counselling service if you are seeing them.  If you have had a family bereavement you will need to provide an order of service or obituary notice. We can take copies if you want to keep the original. If you are unsure about what evidence to submit, email cs-exam-advice@aber.ac.uk to arrange an appointment to chat with someone. If you want, you can put the evidence in a sealed envelope, marked 'confidential'. Put your Full Name and Student ID number on the envelope.

c)      Evidence  will be treated in accordance with the University's Statement on Confidentiality and will only be used by Examination Boards to assess its impact on your performance on the relevant assessments. You will not be disadvantaged by submitting this special circumstances information.

d)      Take a copy of the form and evidence to each department teaching affected modules. For Computer Science you can take your form and evidence to the Main Office in reception.

When to tell the departments

As soon as possible after the event and BEFORE the exam boards are held. Computer Science will send out a reminder by email giving you a deadline. If you have problems obtaining evidence before this deadline, email

Warning: Don’t just wait and see!

You cannot appeal results on the basis of special circumstances which “could reasonably have been notified to departments before the Examination Boards” so be realistic about how you are being affected and act now.

Beth yw amgylchiadau arbennig?

Ym mha ffordd y gall cyflwyno gwybodaeth am amgylchiadau fod o gymorth?

CHEWCH CHI DDIM marciau ychwanegol. Mae trefn y Brifysgol yn ceisio ‘gwastatáu’r cae chwarae’ trwy ganiatáu i adrannau argymell:

·        I bob myfyriwr: cyfle i ailsefyll modiwlau a fethwyd, heb orfod talu ffi ailsefyll, yn yr arholiadau atodol ym mis Awst.

·        I israddedigion yn Rhan 2 (blwyddyn 2 a thu hwnt) a myfyrwyr M.Sc. ar gyrsiau: cyfle i ailsefyll modiwlau a fethwyd am y marciau llawn yn hytrach na marciau wedi’u capio fel sy’n arferol ym mlynyddoedd 2 a thu hwnt. Os yw eich canlyniadau yn dda er gwaetha’r amgylchiadau, ac eto nad ydynt yn ymddangos yn unol â gweddill eich marciau Rhan 2 na chawsant eu heffeithio wrth i ni ystyried marc cyffredinol eich gradd yn y bwrdd arholi terfynol, byddwn yn ystyried y dystiolaeth os ydych yn agos iawn i’r ffin rhwng dosbarthiadau gradd. Gallai hyn effeithio ar yr argymhelliad terfynol.

Sut i ddweud wrth yr adran

a)      Llenwi ffurflen amgylchiadau arbennig sydd i’w chael o’r blychau ar y wal ger y swyddfa Cyfrifiadureg, neu o https://www.aber.ac.uk/en/media/departmental/aqro/rulesandregs/2015-16/specialcircs/Special-Circumstances-form-2015-2016-(Welsh).docx. RHAID i chi roi digon o fanylion i ddangos bod gwaith y modiwl wedi ei effeithio. Felly nodwch y cod i’r modiwl, a dweud ai arholiad neu aseiniad oedd (a pha aseiniad, os oedd mwy nag un). Yn bwysicach na dim, nodwch ddyddiadau’r cyfnod yr effeithiwyd arnoch gan yr amgylchiadau hyn ac yn ogystal â hyn ddyddiadau’r gwaith yr effeithiwyd arno, a DISGRIFIWCH effeithiau’r amgylchiadau ar eich gwaith. Nid oes gan y Bwrdd hawl i wneud tybiaethau. Gall torri braich effeithio neu beidio ag effeithio ar waith myfyriwr. Rhaid i chi ddweud wrthym sut yr effeithiwyd ar eich gwaith. Er enghraifft yn achos torri braich, ai hon oedd y llaw a ddefnyddiwch i ysgrifennu? A effeithiwyd ar gyflymder eich teipio?

b)      Cyflwynwch dystiolaeth ategol gyda’r ffurflen. Gall hyn fod: yn nodyn gan eich meddyg, neu lythyr o’r gwasanaeth ymgynghori os ydych yn eu gweld hwy. Os cawsoch brofedigaeth teuluol bydd angen i chi ddarparu taflen gwasanaeth angladd neu hysbyseb coffa. Gallwn gymryd copïau os dymunwch gadw’r gwreiddiol. Os ydych yn ansicr pa dystiolaeth i’w chyflwyno, e-bostiwch cs-exam-advice@aber.ac.uk er mwyn trefnu apwyntiad i siarad â rhywun. Os dymunwch, gallwn roi’r dystiolaeth mewn amlen wedi’i selio, a’i marcio’ngyfrinachol’. Rhowch eich enw llawn a’ch rhif cyfeirnod myfyriwr ar yr amlen.

c)      Caiff ei drin yn unol â Datganiad y Brifysgol ar Gyfrinachedd a’i ddefnyddio’n unig gan y Byrddau Arholi i asesu ei effaith ar eich perfformiad yn yr asesiadau perthnasol. Ni fyddwch o dan unrhyw anfantais trwy gyflwyno’r wybodaeth amgylchiadau arbennig hon.

d)      Ewch â chopi o’r ffurflen a’r dystiolaeth i bob adran sy’n dysgu’r modiwlau yr effeithiwyd arnynt. Yn achos modiwlau Cyfrifiadureg rhowch eich ffurflen a’r dystiolaeth i’r Brif Swyddfa yn y Dderbynfa.

Pryd i ddweud wrth yr adrannau

Cyn gynted â phosibl ar ôl yr achlysur a CHYN i’r Byrddau Arholi gael eu cynnal. Bydd yr Adran Cyfrifiadureg yn anfon e-bost i’ch hatgoffa gan roi dyddiad cau i chi. Os cewch drafferthion wrth geisio cael tystiolaeth cyn y dyddiad hwnnw, e-bostiwch cs-exam-advice@aber.ac.uk.

Rhybudd: Peidiwch ag aros i weld!

Ni allwch apelio yn erbyn canlyniadau ar sail amgylchiadau arbennig y gellid ‘yn rhesymol fod wedi eu hysbysu i’r adrannau cyn y Byrddau Arholi’, felly byddwch yn realistig am y ffordd yr effeithio arnoch, a gweithredwch nawr.
