Breaches of Accommodation Licence Agreement

Data can be collected using Incident Report Forms and interview / meetings with any and all parties involved in an incident.

During the investigation process, data collected will include (but is not necessarily limited to): full name, contact details, student reference number, signature, details relating to the incident.

The data is shared with: Aberystwyth University’s Health & Safety Department, the Police (where necessary) and the Senior Tutor at Aberystwyth University (when necessary and in-line with the Accommodation Licence Agreement). Incident report forms are sent to Health & Safety in the first instance.

Electronic copies of all associated correspondence, records and evidence are kept on the Students’ Hall Record within the Accommodation Office’s shared drive and on Aberystwyth University’s in-house Student Record System (‘AStRA’ – Aberystwyth Student Records and Admissions System).
Data is kept for a period of the current academic year plus 5 years.
