When will I know which type of accommodation I have been offered?

Please see below for information on what happens next after applying for accommodation and the steps you need to take once you've been sent an accommodation offer.

Accommodation Offer

An accommodation offer* will be e-mailed to your Aberystwyth University (AU) e-mail account shortly after we receive your application, further details will be provided in this e-mail so please remember to regularly check your AU e-mails.

Please follow the step by step guide below after you receive your accommodation offer:

Step 1 - Accommodation Offer

An accommodation offer will be sent to you by e-mail.

The offer e-mail will inform you if your application has been successful and if so provide you with the specific residence you have been allocated to; however, you will not know your specific flat / room until the day of arrival. You will also be informed of the next steps in order to ensure that you accept your offer and secure University Accommodation by the deadline date that is given. The amount of time you are given will depend greatly on the time of year so some offers may have as little as 24 hours, therefore please ensure that you keep checking your e-mail.

Step 2 - Accept your offer

Please note that you will be given a deadline date to accept or decline your offer of accommodation and also to successfully complete the Accommodation Licence Pack. The amount of time will depend greatly on the time of year so some offers may have as little as 24 hours therefore, please ensure that you keep checking your e-mails. Failure to complete it by this date will mean that your offer of accommodation will be withdrawn and your application no longer considered therefore, we advise you to contact the Accommodation Office to discuss alternative availability.

Handy tips:

  • Have your Aberystwyth University e-mail username and password to hand, along with any other details you may need during the process. If the page is inactive for an hour, it will automatically time out.
  • Have a credit/debit card available in order to pay the £100 Acceptance Fee and to set up payment for your Accommodation Fees (if you are already living in University Accommodation then your existing Accommodation Deposit will be used - if it has fallen below the £100 then you will be required to top it up).
  • We advise that you set aside approximately an hour to complete this process. There will be lots of useful information for you regarding your time spent living in University Residences, so please take the time to read it thoroughly.

To accept your offer;

  1. Login to the Accommodation Portal* as 'Current Student' by using your AU username (eg abc1) and password.
  2. Select the relevant application periods - 'Aberystwyth University Accommodation - Academic Year 2020/21'.
  3. Select 'Accommodation Offer' to accept or decline your offer by the deadline date given.
  4. Select 'Accommodation Licence Pack' and successfully complete it by the given deadline date.

 

Step 3 - Accommodation Licence Pack

After accepting your offer of accommodation, you will need to complete an Accommodation Licence Pack by a set deadline. You will also need to complete an online Induction before you collect your key.

The Accommodation Licence Pack consists of the following steps:

2.1 - Accommodation Licence Pack Introduction

When you have accepted your accommodation offer you will be required to complete the Accommodation Licence Pack*. Select 'Accommodation Licence Pack' and follow the guidance provided. 

Please note that you will be given a deadline date to respond to your offer and complete the Accommodation Licence Pack. The amount of time will depend greatly on the time of year so some offers may have as little as 24 hours therefore, please ensure that you keep checking your e-mails.

2.2 - Residents' Handbook

The Residents' Handbook provides valuable and legal information on living in residences and you are required to read it in conjunction with your personal Licence Particulars (found in this step) and the Accommodation Licence Agreement (found at the back of the Residents' Handbook).

 2.3 - Catering Allowance 

Both catered and part-catered residences have a Meal Plan Offer included however, this section also includes information on Meal Plans available in all self-catered residence. 

2.4 - Acceptance Fee

To secure University Accommodation, you are required to pay a £100 Acceptance Fee payable online by credit/debit card.*

To make this payment you will be directed to our secure online payment system where the card details you provide will also be used to pay the Accommodation Fee (if installments selected then be aware that future payment dates will be provided to you).

*If you are already holding a deposit with us then any remaining balance will be sued to secure your place for the next academic year - however, if your deposit has fallen below the required £100 then you will be required to pay any shortfall. 

2.5 - Accommodation Fees

You will need to select a payment method to pay your Accommodation Fees. Accommodation Fees can be paid by either one single payment or by a maximum of three installments (October, January and May). Please note: the card used to pay the £100 Acceptance Fee will automatically be used to pay the Accommodation Fees so if someone else is paying the Acceptance Fee but doesn't want to pay for your Accommodation Fees, please be careful which card is used. 

2.6 - Request to live with friends

You can complete an association request form to live with friends. Please note: a deadline date will be provided in which you need to complete this by. Also, you will all need to have been offered the same residence in order to request to live in the same flat/house and one of you must be nominated the 'group leader' to set up and mange the association. We have have sizes to suit all groups - why not 

2.7 - Complete Induction Programme (Key Release Form)

At the end of the Accommodation Licence Pack you are required to complete our online pre-arrival Induction Programme, which will provide you with useful information on living in University Accommodation. during completion of the induction, you will be able to choose an arrival date and time which will then produce a 'Key Release Form'. You will need to provide a copy of your Key Release Form (printable or electronic) and bring it with you in exchange for your room key.

Accommodation Portal -

The Accommodation Portal is an online service to apply for and secure accommodation at Aberystwyth University.

Accommodation Offer - 

When your application for accommodation has been processed you will be sent the outcome by e-mail. If successful, the offer will include the name of the residence and the type of room you have been allocated, along with information on when and how to accept the offer.

Accommodation Licence Pack -

Once you accept your accommodation offer you will be required to complete the Accommodation Licence Pack by a given deadline date. This includes; agreeing to the terms and conditions of your Accommodation Licence Agreement, payment of the required £100 acceptance fee*, setting up a payment plan for accommodation fees, requesting to live with friends and completion of our pre-arrival induction programme.

*If you already live in University Accommodation and have also been offered a place for the following academic year in University Accommodation then there is no requirement to pay another £100 acceptance fee as your current deposit can be transferred over. You may be required to pay any shortfall if deductions from your deposit have been made.
