Information Technology (IT) Services
Information Technology (IT) Services provide the following services to registered staff and students at Aberystwyth University in support of the University's strategy.
All use of IT Services is subject to our policies and regulations.
Services we provide
Binding
We can print and soft or hard bind personal copies of your dissertation or thesis for collection from the Hugh Owen Library.
This service is available to Aberystwyth University Staff and Students in support of the academic aims of the University.
Business Information Systems
The Aberystwyth Student Records and Admissions System is available to authorised users only
Computer rooms
Computers, available for staff and students to login to, are available at locations across campus, some of which are open 24/7.
These computers are mainly Windows, although a small number of Macs are also available, and all provide access to the University network, Microsoft 365, printing facilities, file store and a range of specialist software.
In some locations monitor hubs, with keyboard and mouse, are also available for use with a personal device.
Cyber security
IT Services is dedicated to protecting our digital environment and ensuring the online safety of all staff, students. We proactively monitor IT systems to defend against external threats and manage the security infrastructure that keeps data secure. Our team responds quickly to cyber incidents such as phishing emails, malware infections, and fraud attempts, while also providing advice and running training sessions to help you stay cyber-aware. We develop IT security policies and best practices to maintain compliance and resilience across the University.
Email is provided by Microsoft 365, which includes a web based mail client with calendars and contacts, OneDrive file storage, Office web apps and 1TBGB Cloud storage space for mail and documents.
In addition to personal mailboxes for staff and students, shared mailboxes are available for services and projects.
All incoming mail is checked by Microsoft filters for SPAM and viruses.
Email lists
Email lists, dynamically generated from staff and student data, are available for contacting staff and students. These include lists by faculty, department, module, scheme, programme and course of study, hall of residence and campus.
Bespoke lists, which are manually maintained, can be created for teams, services, projects and groups.

Equipment Loans
A range of equipment is available for staff and students to borrow for short periods of time for university events, field trips or coursework. This includes laptops, projectors and other digital photography and video equipment. This service is provided to support academic study and university events only.
File storage
A number of solutions are available for file storage.

Information monitors
Information Monitors can be used to display a rotating series of pages to advertise courses, services and news items.
Departments are responsible for purchasing the hardware and generating the content and IT Services can provide:
- support in procuring and installing the monitor
- training and support in creating and updating the content
- managing the service that broadcasts the content

A vending machine is available on Level D of the Hugh Owen Library where the following can be purchased:

- USB pen drives (16GB)

Payment is via Aber Card only
Departments can also purchase these, and other items using internal cost codes
IT Network
Aberystwyth University’s external internet connection is provided via the Public Services Broadband Aggregation (PSBA) network within Wales, and the Joint Academic Network (JANET) within the UK academic and research environments.
IT Services are responsible for providing network access, which complies with the Network Management Policy and Wireless Policy, across all areas of the University.
The 'Eduroam' wireless network is available throughout University academic and administrative buildings and in halls of residence.
All halls of residence on campus have wired network sockets, and the 'Eduroam' wireless network provides high speed connection which enable students to access the Aberystwyth University local area network and the internet.
A VPN service is available for our users working or studying from off campus.
IT Services staff install, support and maintain networking at a variety of levels including the connection to the Internet, the inter-campus links, inter-building links, right through to local cabling to desks.
On new projects, IT Services liaises throughout project lifecycles with the Estates Development Department, the AU Property Services Team, and/or contractors on wider projects. Being involved throughout minimises problems later on as well as including infrastructure for the future.
IT Purchasing & Procurement
We provide advice and validation for the purchase of all IT hardware, software, and services. We will ensure that equipment is compatible with University systems, meets security standards, and achieves best value through approved HEPCW frameworks. Please consult us prior to placing any orders to ensure compliance.
Microsoft Teams
Microsoft Teams is available to all AU staff and students with an AU email account and can be accessed via mobile app, desktop app or web browser.
It offers tools for collaborative working for example:
- Group chat
- Video meetings
- File sharing
- Group calls
For broadcasting video and meetings to a much larger audience (up to 10,000 attendees) Microsoft Teams Live Events provides the functionality for closer management of broadcast content.
Online Staff profile system
Staff profiles are accessible to the public through the central University Directory and staff lists on departmental web pages.
The pages are generated from the Staff profile system and all Aberystwyth University staff and some students can maintain their own profiles.
Printing, Photocopying and Scanning
IT Services provide a self-service, combined printing, photocopying and scanning service in locations across all campuses, some of which are available 24 hours a day.

- Black/White and Colour photocopying
- A3 and A4 options
- OCR scanning
- Scanning to email or filestore / OneDrive
Server hosting and storage
IT Services support the view that corporate AU servers and storage should be housed and managed centrally so that they receive the best security, continuity of service and management to ensure optimum resilience for University services.
IT Services provides a hosting service for specialized departmental servers.
Software
Telephony
The University telephone service uses Voice over IP (VOIP), which includes features like Softphones, Voicemail, Caller line ID, and extension mobility.
Mobile phones for university departments are also managed centrally by ITS.
Web publishing
- The University uses a Content Management System (CMS) called Terminalfour to create, review and publish content to the University web site.
- The Student hub and staff intranet are published using SharePoint
- Options are available for Research projects which require a website
- Students and Staff at Aberystwyth University are allowed to publish their own web page via the University's server.
